We are looking for an exceptional Full-Time Operations & Administrative Associate candidate to provide support for the Financial Advisor, assisting with office functions, account management, client service, and marketing.
The right candidate must be skilled at client servicing, communication, researching, and is able to work independently.
Job duties and responsibilities will include:
CLIENT SERVICE
Putting client needs first is deeply rooted in our culture and the core of everything we do. In providing excellent client service you will:
- Prepare for appointments and portfolios at the direction of the Financial Advisor
- Provide Market information or quotes to clients
- Follow up on the necessary paperwork with calls/emails to clients
- Respond to client inquiries on administrative questions
OFFICE ADMINISTRATION
Assisting the Financial Advisor in managing the branch office to exceed firm, client and regulatory expectations includes:
- Effective communications with the Financial Advisor
- Management of phone calls and walk-in clients
- Management of the appointment set-up and confirmations
- Management of the service requests, faxes, and emails
- Ordering supplies and processing expenses
ACCOUNT PROCESSING
Ensuring client accounts are processed accurately and efficiently is crucial to satisfying clients. Activities include:
- Creation and delivery of all necessary forms & letters of instruction to the clients or the Financial Advisor
- Opening, closing and transferring accounts
- Processing trade and other transactions
- Processing retirement or estate accounts
- Data entry and management of the firm's CRM database
BUSINESS DEVELOPMENT
Support of the Financial Advisor in developing the branch office through:
- Marketing assistance (Newsletter mailings, Social media, SEO optimization & Public Relation related duties and etc.)
- Follow up with prospective clients and clients
- Promoting a wide variety of the financial services offered by the firm (portfolio management service, estate planning service, insurance and etc)
- Implementing client seminars
QUALIFICATIONS
- Proactive approach to client service
- Excellent organization skills
- Extreme attention to details and the ability to work independently
- Advanced written and verbal communication skills with a professional demeanor
- Outstanding telephone etiquette
- Ability to multi-task and prioritize tasks without direction
- Highly proficient with Microsoft Office products (Word, Excel)
- Good knowledge of CRM system such as Redtail or Salesforce and Financial Planning platform such as MoneyGuidePro is a plus
- Having a Security license (series 6 or 7) or an Insurance license is a plus
- Should have a broad-based knowledge of social media platforms
- AA or BA/BS degree
- Successful completion of a background check, fingerprint screening and previous employment verification
